1. Who we are

Servicetube Limited, trading as Servicetube-Schedule, is a company registered in England and Wales and is the data controller for personal data processed through Servicetube-Schedule when you sign up and use the Service, and when we run our own business operations. Contact us at contact@servicetube.co.uk.

Where a customer company uses Servicetube-Schedule to manage its own staff, that company is the controller of its staff records and we act as its processor, handling that data on its instructions.

2. What we collect and why

  • Account details (name, email, login credentials) — to create and secure accounts and provide the Service. Legal basis: performance of a contract.
  • Company details (company name, legal name, address, VAT and company number, logo) — to identify the customer, configure the account and issue invoices. Legal basis: contract and legal obligation.
  • Staff profile details (phone number, home address, date of birth, photograph, staff ID) — entered by, or at the direction of, the employing company so staff can be identified and issued verification badges. Legal basis: contract and legitimate interests of the employer.
  • Work records (hours per client, expenses, receipt images, time-off requests, approvals, pay and charge rates) — to deliver the Service's core functionality. Legal basis: contract and legitimate interests.
  • Support messages — to answer your questions. Legal basis: legitimate interests.
  • Technical and usage data (IP address, device and browser information, log and telemetry data) — for security, fraud prevention, debugging and product improvement. Legal basis: legitimate interests.

Card and payment data is collected directly by Paddle, not by us. We never see or store full card details.

3. Who we share data with

  • Service providers and subprocessors — hosting, database, storage and email delivery providers acting on our instructions under contract.
  • Paddle.com, our Merchant of Record, for the sale of subscriptions, subscription management, payment processing, tax compliance and invoicing.
  • Professional advisers such as our accountants and legal advisers.
  • Authorities where we are required to disclose by law.

We do not sell personal data or share it for third-party advertising.

4. International transfers

Some of our providers process data outside the UK and EEA. Where that happens we rely on appropriate safeguards, such as UK adequacy regulations or Standard Contractual Clauses with the UK Addendum.

5. How long we keep data

We keep account and work records for as long as the customer's account is active. After an account closes we retain data for up to 30 days so it can be exported, then delete or anonymise it, except where we must keep billing and tax records for longer (typically six years) to meet legal obligations.

6. Security

We apply appropriate technical and organisational measures, including encryption of data in transit, access controls and row-level access rules so team members only see the records they are entitled to. Receipt images and staff photos are held in private storage that is not publicly browsable.

7. Your rights

Under UK GDPR you have the right to access your data, have it corrected or erased, restrict or object to processing, request portability, and withdraw consent where processing relies on it. Email contact@servicetube.co.uk and we will respond within one month. If you are a member of staff at a customer company, please contact your employer first, as they control those records. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

8. Cookies

We use essential cookies and similar browser storage to keep you signed in and to keep the Service secure. These are required for the Service to work and cannot be switched off in the app. We do not use advertising cookies. You can clear or block cookies in your browser settings, but parts of the Service may then not function.
